Set Up Automatic Late Deduction

Gadjian has now released a new feature for automatic late deduction, making it easier for you to manage attendance and payroll calculations. 

How does it work? Let’s take a look!

Currently, Gadjian will automatically calculate late deductions with the following conditions:

  • The late deduction formula setting has been activated, and

  • The employee work pattern/shift schedule has been set

A. Activating Late Deduction Settings

  1. Click “Yes” in Payroll Settings > Point 6.

    Once enabled, the “Late Deduction” component will be automatically activated

  2. Next, you can adjust the unit used to calculate late deductions. Gadjian provides two unit options:

    👉 Late coming work are calculated in minutes
    👉 Late coming work are calculated in days

  3. In point 6b, Gadjian provides an option to adjust the deduction rate according to company policy:

    👉 Same deduction rate (applies to all personnel).

    👉 Different deduction rates to each personnel


    If you choose this option, the deduction rate must be set individually in each employee’s remuneration settings.

  4. Since the late deduction component is newly added, to ensure the system can recognize it, you must first add this component to the payroll slip that will be used.

B. Ensuring Work Patterns and Shift Schedules Are Set

The system will calculate the total lateness of an employee only if the employee has a daily work schedule. This is because the system reads employee lateness from the clock-in time specified in the work pattern or shift schedule.

C. Simulation of Late Deduction Calculation

  1. Minute-Based Formula

    Employee A has a Monday–Friday work pattern with a start time of 08:00 WIB, and the company allows a 5-minute lateness tolerance. On March 18, 2026, Employee A arrives at 08:20 WIB. Late Deduction Calculation:

    ✅ Based on the work pattern, Employee A is 15 minutes late.


    ✅ The late deduction rate for the employee is IDR 5,000 per 5 minutes.

    ✅ The late deduction for Employee A amounts to IDR 15,000.

  2. Day-Based Formula

    Employee B has a Shift Schedule, where the start time varies each day. On March 19, 2025, Employee B’s scheduled start time is 15:00 WIB, and the company does not apply a lateness tolerance.

    Employee B clocks in at 15:05 WIB on that day. Late Deduction Calculation:

    ✅ Based on Employee B’s shift schedule, they are 5 minutes late.


    ✅ The late deduction rate for Employee B is IDR 10,000 per day.

    ✅ The late deduction for Employee B amounts to IDR 10,000.
